Summary: Sage 100 2026 brings meaningful improvements to Paperless Office, search, security, help capabilities, and more. But one big change in this version could affect your upgrade timeline. Here’s what every Sage 100 user needs to know before scheduling their update.
Let’s start with the really good news: Sage 100 version 2026 gets you an AI-powered help tool, true global search, and a seriously handy update for invoicing through Paperless Office. That’s not everything, just some of the coolest changes we decided to highlight here.
… And now for the bad news. If you haven’t had time to upgrade to the 64-bit version of Sage 100 yet, your time has run out. You’ll have to make that upgrade if you want version 2026. (And it could be complicated to get to 64-bit.)
All of that makes this year’s upgrade decision more complex than previous years. So, to help you weigh your options, here’s a breakdown of five reasons to make the switch, and one reason to wait.
Reason 1: Paperless Office Finally Consolidates Invoice Emails
If your AR team has been sending ten separate emails to deliver ten invoices to the same customer, that ends now.
With version 2026, you can consolidate multiple forms into a single email, which means ten invoices will go out as a single email – not ten. You can also zip multiple forms into a single attachment and schedule consolidated email delivery through Task Scheduler.
The Paperless Office updates just keep on going: You can now print Sales Order picking sheets to PDF and email them directly to the right people in the warehouse (or to the customer, if you’d like). The new Scheduled Attachments button lets you set up attachments to go out automatically with a form. And you can create unique email messages for specific documents in a document group.
Reason 2: Extended Character Counts & Better Tracking
Everyone was really excited about the extended character count for invoice numbers in Sage 100 2025. Clearly, Sage listened to that excitement, and they’re amping it up.
Now:
- The Lot/Serial Number field allows 50 characters across most modules.
- The Price Level field allows 15 characters across most modules.
- The Sales Order Package Tracking Number field allows 40 characters (to align with FedEx Ground and DHL eCommerce).
Need FSMA tracking? Version 2026 covers that, too.
Businesses using the FDA Food Traceability List (FTL) will be glad to hear that version 2026 makes it easy to track lot code source and country of origin directly in Sage 100.
Reason 3: Find Anything, Instantly
How much time have you personally spent this month clicking through modules to track down a single record? 15 minutes? 15 hours? (Probably not, but our hyperbole has got you thinking, doesn’t it?)
With the latest Sage 100 version, you can cut that time down to nothing because a new Global Search button on the Home tab lets you search across your entire Sage 100 system in one step.
Looking for every AR invoice tied to a specific salesperson? Is every inventory item assigned to a particular warehouse? You can pull up the data you need without opening a single module.
Reason 4: A Full Audit Trail
If you’ve ever had to answer the question “who changed that?” and had no good answer, this section is for you.
To drive better security and compliance, version 2026 introduces a full audit trail for roles and users. Every change, deletion, and addition made in your system can be tracked, and new Role Audit and User Audit reports make it easy for you to review access history at the drop of a hat (or more importantly, when someone drops the ball).
Another handy security update in Sage 100 2026: password validation. It’s on by default in this version, and you can configure an inactivity timeout to automatically log out idle users. It’s a small change, but it could be a huge security benefit if you have a multi-user environment. Plus, it keeps your audit trails cleaner, too.
Reason 5: Built-In AI Help
We’re big fans of this one. The new Sage Help Agent, accessible directly from the Home tab, lets you type a question in plain English and guide you to the right answer in the Help module, with no manual searching required. Think of it like a knowledgeable colleague who’s always at their desk.
This helps if you need to perform a task you don’t often do, like updating sales tax exemption numbers, but it’s also a lifesaver when you end up short-staffed, and one person has to wear three hats.
Note that this feature is currently built around the Sage 100 Help files, so it’s best suited for procedural questions and step-by-step guidance. We expect that the Sage Help Agent will soon add the Sage Knowledgebase for even more assistance.
The #1 Reason to Wait: You’re Still Running 32-bit Sage
As we touched on earlier, Sage 100 2026 is a 64-bit-only application. If your server is currently running a 32-bit version of Sage 100 (even if it’s Sage 100 2025 32-bit), you cannot install version 2026 on that server. If you do, the 32-bit version will no longer work.
This alone might be more important for your company than any individual new feature.
Before making any concrete update plans, you or your Sage partner should:
- Determine whether you’re running 32- or 64-bit Sage.
- See if you can convert your environment to 64-bit before upgrading to version 2026. (There’s a utility for this.)
- Confirm that your integrations, add-ons, and customizations are compatible with 64-bit.
None of this is a reason to skip the upgrade. Version 2026 is exciting. But all this is a reason to plan carefully – and to start planning now.
Is Your Environment Ready for Sage 100 2026?
Word from the wise: Version 2026 is already out, so you can get it anytime. But before you upgrade, take a close look at your current setup.
We offer compatibility reviews to help you understand exactly what your upgrade path looks like, so you know whether it’ll be a straightforward install or a more involved infrastructure update. It’s best to know what to expect now, so you can plan accordingly. Schedule Your Compatibility Review
